Losing important paperwork is always stressful, but when it happens in a foreign country, the language barrier and local bureaucracy can make the replacement process feel overwhelming. Whether it’s for a visa renewal, a tax filing, or an international move, having your official Japanese documents in order is crucial.
At Dave Higgins Office, we frequently help clients track down and reissue essential records from municipal offices all over Japan. Recently, we had a client who needed a fresh copy of their marriage certificate—known here as a Certificate of Acceptance of Marriage (婚姻届受理証明書, Konin-todoke Juri Shomeisho). As you can see in the photo, Hazuki is holding up the successfully reissued certificate, fresh from the city office!
Why Might You Need a Document Reissued? There are several reasons you might need to go through this process:
- Originals were lost or damaged: Life happens, and sometimes paperwork gets misplaced during a move or damaged by accident.
- Updated versions are required: Immigration and other government bodies often require documents (like a family register or Koseki Tohon) to be issued within the last three to six months.
- Overseas administrative needs: If you are registering your Japanese marriage in your home country or applying for a spousal visa abroad, you will almost certainly need a recently issued, official certificate.
The Challenge of Reissuing Documents in Japan The Japanese administrative system is highly localized. While some digital advancements have been made recently, obtaining official copies of older records often requires dealing directly with the specific city or ward office where the original event (marriage, birth, divorce) was registered. If you currently live in Okinawa but were married in Tokyo, you can’t always just pop down to the local town hall to get a copy. It involves postal money orders (teigaku kogawase), return envelopes with specific postage, and filling out Japanese application forms precisely.
How We Can Help You don’t have to navigate the city hall system alone. Our team at Dave Higgins Office handles the entire process from start to finish. We can contact the relevant municipal offices anywhere in Japan, prepare the necessary applications, handle the postal requests, and securely receive your reissued documents.
Once the Japanese document is in hand, we also provide certified, accurate English translations so that your paperwork is ready for immediate use at embassies, immigration offices, or legal entities abroad.
If you’re missing a vital piece of documentation, don’t stress. Reach out to us and let us handle the bureaucracy for you.
